Admitting & Registration
Our staff is dedicated to always providing the highest quality, most compassionate care and service to each and every one of our patients and their families in a warm and friendly environment. We strive to make the admitting and registration process for patients as stress-free as possible.
Inpatient Registration
When your physician determines that an overnight stay or longer is required, he or she will contact Admitting to make arrangements. A hospital representative will then contact you to obtain information. Upon arrival, you will be directed to the Admitting office, located to the left of the main entrance of the hospital. Please have ready your identification, health insurance card(s) and any claim forms. You will be asked to complete and sign the following documents:
- Consent to treat
- Authorization to bill Insurance
- Acknowledgement of rights
Outpatient Registration
Your physician will contact Admitting to make arrangements for pre-registration and schedule your appointment. Upon arrival on the day of your procedure, please go to the Admitting office, located to the left of the front lobby, for assistance. Kindly plan to arrive 30 minutes prior to your appointment to allow time to register and remain on time for your appointment. To ensure a smooth process, we will ask you to present your identification, insurance cards, referrals if required and your prescription. You will need to sign consent form(s) as part of the admission process.
What to bring with you
- Identification: license, passport, state issued ID
- Insurance Cards
- Referrals and authorization if needed
- Physician prescription or order
- Copayment due at the time of service
Surgery Center Registration
Your surgeon’s office will schedule your pre-admission testing and surgery appointments. The evening before your scheduled surgery date, you will receive a phone call from Admitting notifying you of admission time. When you come to the hospital for pre-admission testing, first stop in Admitting to be registered. The office is located to the left of the main entrance.
On the day of your surgery, it is suggested that you park closest to the Surgery Center, located in the rear of the hospital. At the Surgery Center, you will meet with the Registrar to check in and review your information, and sign consent forms.
Authorizations
Health insurance coverage is a contract between you and your insurance company. Many insurance companies require prior authorization for certain tests and procedures. Prior to your arrival you should contact your insurance company to obtain benefit and pre-certification information, and verify that your physician has obtained the necessary authorizations/pre-certification for your scheduled test or procedure.
Co-pays and Deductibles
Patients are responsible for all co-payments, deductibles and co-insurance at the time of service. If the exact dollar amount has not been determined, you may be asked to pay an estimated amount or a down payment on the amount. You will then be billed for the balance.
For services not covered by insurance, payment in full is required on the date of service. A Patient Financial Counselor is available Monday through Friday to discuss payment options. Call 914-734-3518.
Payment Information
Upon discharge, the hospital will bill your insurance company for services rendered, based on the information received at the time of registration. Should something change or be inaccurate, please contact the Billing Department at 914-734-3858 to update your information. They can be reached Monday through Friday from 8:00 am to 4:30 pm.
Professional Fees
You may receive more than one bill for hospital services. Professional fees will be billed directly from physicians for specific procedures or tests. You may also receive separate bills for emergency room physicians, radiologists, anesthesiologists, consulting physicians, laboratory fees and other specialty care services. Please call those billing offices directly, at the numbers provided, with any questions pertaining to their bills.
Financial Counseling
NewYork-Presbyterian Hudson Valley Hospital offers financial counseling services for those who are having difficulty paying their bills. We can help establish a payment plan so you can pay your bill over a period of time. The hospital also offers financial assistance to those who complete a financial assistance application and qualify for our program. Applications are available in the Admitting department and at the Financial Counselor’s office.
Medicaid
As part of our financial counseling services, NewYork-Presbyterian Hudson Valley Hospital will assist patients and work with their families with the Medicaid application process. A Financial Counselor or appointee will visit you if you have been admitted to offer assistance.
No-Fault
In the event of an auto accident, New York State regulations require you to notify your insurance company as soon as possible. Your carrier will assign a claim number and an adjuster to handle your claim.
Worker’s Compensation
For work-related injuries, your employer will provide you with a claim number, name and address and phone number of their Worker’s Compensation carrier. Each carrier will have its own guidelines, so you will need to work closely with the carrier to determine the requirements for services.
